AI Office Customer Terms.

Version 2026-10-27 (interim). These are the terms you accept when your business signs up for AI Office. They will be replaced by a fuller agreement; when that happens we will ask you to accept it, and you can cancel instead without penalty.

1. Order Form and Subscription Terms

These terms are between AI Office LLC ("AI Office", "we", "us") and the business that signs up ("Customer", "you"). The person accepting confirms they are authorized to bind that business.

Prices exclude applicable taxes. Add-ons are optional and sold separately. We may also offer packages that combine Albert Core with two or four add-ons at a package price. Your checkout summary or order form shows any package, along with the plan, add-ons and implementation fee you chose, and that summary is part of these terms.

A product or feature we describe as "coming" or not yet available is not part of your subscription until we offer it to you in writing and you add it.

1.2 Billing

You authorize us, through our payment processor Stripe, to charge your card or bank account for the recurring fees on the same day each month and for any one-time fees at signup. Implementation fees and the subscription are separate charges. If a payment fails, we will notify you and retry; if it is still unpaid 15 days after notice, we may suspend access until it is paid. We do not charge late fees.

1.3 Term, renewal and cancellation

Your subscription is month to month and renews automatically each month until cancelled. There is no annual commitment. You can cancel at any time in your billing portal or by emailing office@contractoraioffice.com. Cancellation takes effect at the end of the month you have paid for, and we do not charge further subscription fees after that. Except for the guarantee in section 1.5, fees already paid are not refunded.

1.4 Price changes

We will give you at least one month's written notice before any price increase takes effect. You can cancel before the increase applies and you will never pay the higher price. Founding Contractors keep the $797 rate for 24 months from their start date, after which the plan moves to the then-current Albert Core price with the same one-month notice.

1.5 Live in 14 days, or the install is free

If you bought guided or done-for-you implementation and your workspace is not live within 14 days after your signup date, we refund the implementation fee you paid. "Live" means your account is set up with your company information and users, and lead intake and follow-up are running. The 14 days pause for any days we are waiting on something we asked you for, such as logins, price sheets or a scheduled call. Self-implementation has no fee, so nothing is refunded. This guarantee covers the implementation fee only, not subscription fees.

1.6 Taxes

Fees do not include sales, use or similar taxes. Where we are required to collect them, they will be added to your invoice.

2. Terms of Service

2.1 The service

AI Office is a software platform for running a contracting business, with AI assistants that draft, organize, schedule, remind and recommend. We grant you a non-exclusive, non-transferable right for your employees and contractors to use the plans you pay for, for your internal business, while your subscription is active. Features marked "early access" or "beta" may change or be withdrawn, and you are not charged for an add-on that we stop offering after the month in which we stop.

2.2 Your account

You are responsible for the people you invite, for keeping logins secure, and for everything done under your account. Tell us promptly at office@contractoraioffice.com if you believe your account has been accessed without permission.

2.3 Acceptable use

You will not use AI Office to: break any law, including telemarketing, privacy, consumer protection and contractor licensing laws; send messages or place calls to anyone without the consent the law requires; upload content you have no right to use; try to access another customer's data or probe, overload or disrupt the service; reverse engineer or copy the software; or resell it without a written reseller agreement with us. We may suspend the specific feature or account involved if we reasonably believe this section is being broken, and we will tell you why.

2.4 Your data

You own the data you and your customers put into AI Office ("Customer Data"), and the documents, drafts and reports the service produces from it for you. You give us permission to host, process and copy Customer Data only to provide, secure and support the service for you, and as described in section 3. We do not sell Customer Data. You are responsible for having the right to give us the data you upload, including your own customers' contact details.

2.5 Our property and feedback

We own the AI Office software, its design, its AI assistants and their names, and improvements to them. If you send us suggestions, we may use them without owing you anything, but we will not identify you without your permission.

2.6 Confidentiality

Each of us will keep the other's non-public business information confidential, use it only for this relationship, and protect it with reasonable care. This does not cover information that is public, already known, independently developed, or that the law requires to be disclosed.

2.7 Support

Support is by email at office@contractoraioffice.com during business hours, Pacific time. We will make reasonable efforts to keep the service available and to tell you about planned maintenance in advance, but we do not promise a specific uptime percentage.

2.8 Warranties and disclaimers

We will provide the service with reasonable care and skill. Otherwise, AI Office is provided "as is". We do not promise it will be error free or uninterrupted, or that it will produce any particular revenue, savings or business result. Estimates, scorecards and projections on our website or in the product are estimates, not guarantees. You remain responsible for your bids, contracts, prices, permits, insurance claims, payroll, taxes and the work you perform.

2.9 Limitation of liability

To the extent the law allows, neither of us is liable to the other for lost profits, lost revenue, lost data that could have been restored from backups, or indirect, special or consequential damages. Each party's total liability under these terms is limited to the fees you paid us in the 12 months before the claim. These limits do not apply to your obligation to pay fees, to breaches of confidentiality, or to a party's fraud or willful misconduct.

2.10 Indemnity

You will defend and cover us against third-party claims arising from messages or calls you direct through the service without required consent, or from Customer Data you had no right to upload. We will defend and cover you against third-party claims that the AI Office software, as we provide it, infringes their intellectual property.

2.11 Ending the service

Either of us may end the subscription as described in section 1.3. We may also end it if you materially breach these terms and do not fix the breach within 15 days of notice. When the subscription ends, your access stops at the end of the paid period, and section 3.6 (export and deletion) applies.

2.12 Changes to these terms

We may update these terms with at least 30 days' notice by email. If you do not agree, you can cancel before the change takes effect. These interim terms will be replaced by a fuller agreement; we will ask you to accept that agreement, and you may cancel instead without penalty.

2.13 Governing law

These terms are governed by Washington law. Disputes go to the state or federal courts in King County, Washington.

2.14 General

These terms, your checkout summary and any signed order form are the whole agreement between us about AI Office, and they replace anything said on our website. If any part is unenforceable, the rest still applies. Neither of us may assign this agreement without the other's consent, except to a successor of our business. Notices to us go to office@contractoraioffice.com; notices to you go to the account owner's email.

3. Privacy and Data Handling

3.1 Our role

For your business information, we are your service provider. For the homeowners, leads, employees and subcontractors whose details you put into AI Office, you decide what is collected and why, and we process it on your instructions to provide the service. You are responsible for giving them any notices the law requires and getting any consent it requires.

3.2 What we collect

Account details (names, emails, phone numbers, company information); billing details, which Stripe processes (we do not store full card numbers); Customer Data you add, such as customer names, addresses, phone numbers, emails, job photos, proposals, contracts, invoices and insurance documents; data from accounts you connect, such as Google Calendar, Gmail or Drive, only for the features you turn on; and usage and security logs.

3.3 How we use it

To provide, secure, support and bill for the service; to send you service messages; and to improve the service using aggregated, de-identified information. We do not sell or rent personal information, and we do not use Customer Data for advertising.

3.4 Who processes it for us

We use service providers to run the platform, including: Stripe (payments), Clerk (sign-in), Twilio (calls and texts), Anthropic (AI), Deepgram and ElevenLabs (voice), Google (email, calendar and maps, when you connect them), Neon (database) and our hosting and backup providers. They may process data only to provide their service to us. We will keep a current list available on request and give notice before adding a provider that processes Customer Data.

3.5 Security and separation

Each customer's data is kept separate from every other customer's through access controls enforced in the application and in the database. Connected-account credentials and sensitive identifiers such as tax ID numbers are encrypted. Data is encrypted in transit. Our personnel access Customer Data only to provide support you ask for, keep the service secure, or meet a legal requirement. We back up the database nightly and keep copies off the main server.

3.6 Export and deletion

You can request an export of your Customer Data at any time, including after you cancel. We will deliver it in a common format (CSV, PDF and original files) within five business days. After your subscription ends we keep Customer Data for 30 days so you can export it, then delete it from the live system. Backup copies expire on their normal rotation. Call transcripts are cleared automatically after 90 days unless you choose a different period.

3.7 Data incidents

If we learn that Customer Data was accessed without authorization, we will notify you without undue delay, tell you what we know, and help you meet any notice obligations you have.

3.8 Requests from individuals

If one of your customers asks us to see, correct or delete their information, we will pass the request to you and help you respond.

4. AI Use Disclosure

What the AI does. AI Office uses AI models, currently from Anthropic, to draft messages, proposals, summaries, briefings, schedules and recommendations.

People stay in charge. Actions that commit your business, such as sending a customer message, placing an order or sending a document for signature, require approval from a person on your team unless you turn on automatic sending for that action. You are responsible for anything you approve or set to send automatically.

AI can be wrong. AI output can be inaccurate, incomplete or out of date. Check prices, measurements, contract terms, scope and anything sent to a customer, insurer or supplier before relying on it.

Training. We do not use your Customer Data to train AI models. We send data to AI providers only as needed to produce the result you asked for, under those providers' commercial API terms.

5. SMS and Calling Responsibilities

You are the sender. Texts and calls you send through AI Office are sent on your behalf and under your business's name. You are responsible for complying with the Telephone Consumer Protection Act, state telemarketing and recording laws, and carrier rules.

Consent you must have.

Suggested opt-in wording for your forms:

"By checking this box, I agree to receive calls and text messages from [Business Name] about my project and appointments at the number provided, including messages sent with automated technology. Consent is not a condition of purchase. Message frequency varies. Msg and data rates may apply. Reply STOP to opt out or HELP for help."

Opt-outs.

Call recording. Call recording through AI Office is currently turned off. Washington, Oregon and many other states require every party's consent before a call is recorded. If recording is offered later, it will include an announcement at the start of the call, and you remain responsible for recording laws in the states you call.

Texting registration. Sending texts through AI Office requires carrier (A2P 10DLC) registration. Until your business's registration is approved, AI Office may hold or limit your texts.

How you accept

You accept these terms by ticking the box at signup that reads: "I have read and agree to the AI Office Customer Terms, and I am authorized to accept them for my business." We record who accepted, when, and which version.
